Prevent Outlook from caching public folders / shared mailboxes

 

When Outlook is running in cached mode and the users is connected to different shared mailboxes or public folders, Outlook may cache also the content from the other mailboxes in local OST-file. This can be result in a very very huge OST-file. SSD can run out of disk space or Outlook will be much slower than without caching the external mailboxes

Environment

  • Microsoft Office 2010 / 2013 / 2016 with Outlook
  • Running Outlook in cached-mode
  • Windows Vista / 7 / 8 / 8.1 / 10
  • Mapped shared mailboxes in the personal mailbox

Problem

Most of the Outlook-Installations are running in cached-mode to prevent Exchange-Server from higher load and i/o so the local installation is running most of the time on the local disc and only the changes are communciated to Exchange.

Sometimes it is necessary to provide the user with a mapped, shared mailbox in Outlook to access public/common informations or something else.

Outlook will cache also this emails in the shared mailboxes until setting a GPO or a registry-entry. This solution is working with a registry entry.

Solution

Provide the affected client with the following keys in the registry

  • HKEY_CURRENT_USER\SOFTWARE\Microsoft\Office\xx.0\Outlook\Cached Mode
    • DWORD (32bit-registry-key)
      • Name: CacheOthersMail
      • Value: 0
  • Please change the path to the correct edition/version from Office which is installed on the computer which is running Outlook
    • Office 2010: 14.0
    • Office 2013: 15.0
    • Office 2016: 16.0

Alternatively you can also place the value under the following path:

[HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\14.0\Outlook\Cached Mode}
“CacheOthersMail”=dword:00000000

After closing/opening Outlook again Outlook will only cache the items from the personal, local mailbox in the ost-file.
